About The Role

We are seeking an experienced Data and EDI Specialist responsible for maintaining accurate and reliable data in our Enterprise Resource Planning (ERP) system. This role reports to the Director of Operations and is part of the Operations Department in the New York metropolitan area. Our NYC office uses a hybrid remote model where employees commute to the office two times per week and as needed thereafter. The ideal candidate understands product data and relevant software systems.
 

About You

You are detail-oriented, organized, and proficient in data management. You use strong analytical skills to identify root causes of data issues, and you follow protocols that ensure data integrity. You collaborate well with teams and tailor system support to their needs. As the main ERP troubleshooter, your communication and problem-solving skills support smooth operations and accurate data across the organization.

What You Will Do

As a Data and EDI Specialist, you will maintain, enter, and review historical and current data in our ERP while supporting Sales, Production and Planning with accurate information for decision making.

Electronic Data Interchange (EDI) and Order Flow

  • Take ownership of the company's Electronic Data Interchange (EDI) process and partner with the ERP team to set up and maintain connections.
  • Process and validate daily inbound and outbound EDI orders and investigate transmission errors with IT or the ERP team.
  • Ensure the warehouse receives accurate data so ASNs are transmitted on time and liaise with Sales to troubleshoot inbound document issues.
  • Track and report recurring EDI issues and recommend improvements.
  • Coordinate order release for EDI orders with timely communication to stakeholders.

Third-Party Logistics (3PL) Coordination and Order Release

  • Act as the primary point of contact with all Third-Party Logistics (3PL) partners and coordinate order processing to ensure timely shipment release and prioritization.
  • Handle and escalate sales-related 3PL inquiries or issues.
  • Monitor 3PL performance metrics and flag discrepancies to Operations leadership.
  • Monitor credit holds and release prepaid orders upon verified payment, then partner with Operations to prioritize shipments as holds clear.
  • Update Sales on holds, releases, and at-risk orders to ensure transparency and customer impact awareness.

Master Data, Catalog, Pricing and Compliance

  • Update and correct customer addresses in our ERP, file disputes with UPS if an address correction is inaccurate and update records accordingly.
  • Create new items in our ERP with complete specifications, packaging and compliance fields.
  • Update existing item records for specification changes, pricing updates or lifecycle status.
  • Maintain dimensions and attributes such as size, color, weight, materials and care.
  • Build case packs, inner packs and related content used by Production and Sales.
  • Enter and maintain merchandise groups and category assignments.
  • Create hierarchical data such as families, collections and variants so cross-functional teams share aligned views and ensure item relationships, including parent or child, alternates and replacements, are accurate.
  • Create cost sheets in the ERP for specialty customers and projects, maintain pricing fields and effective dates where applicable and maintain royalty and sales codes to meet financial and legal requirements.

Data Quality, Reporting, ERP Administration and Process Improvement

  • Adhere to data entry protocols and program guidelines for all updates, audit customer and item data on a defined cadence, correct inaccuracies and document changes.
  • Analyze discrepancies to identify root causes, recommend prevention policies and validate completeness of required fields before activation or release.
  • Provide Planning with accurate historical and status data on goods and supply timely updates that support scheduling and inventory management decisions.
  • Prepare and deliver data integrity and status reports for leadership and the C suite, track data error trends and remediation progress and share insights with stakeholders.
  • Serve as the primary point of contact for in house ERP questions and triage, document incidents, fixes and change requests, escalate to vendors or IT as needed and maintain user guides, field dictionaries and change logs.
  • Create and maintain SOPs, data standards and learning tools. Drive process improvements that increase accuracy and on time completion. Align cross team workflows to reduce rework and duplicate entry.
  • Partner with Sales to ensure goods are accurately created and ready for order entry, support Production with correct item and pack data and collaborate with Planning and Inventory to validate data and resolve discrepancies.
  • Enforce data governance rules, including ownership, approvals and audit trails, ensure brand-related royalty or sales codes are applied correctly and retain documentation for audits.
  • Systems reference includes Exenta for master data, costing, pricing and hierarchy, along with reporting tools or spreadsheets used for audits and leadership updates.

Education and Experience

Bachelor’s Degree in a related field or High School Diploma and at least 3 years of relevant experience.
 

Compensation Pay Bands

Data and EDI Specialist I: $65,000 - $75,000
